Entering Comments
Before starting, check if you have removed old comments from the previous semester or mid-semester report. If you want to erase all comments in a gradebook at the same time, click on the link, zap all comments or scroll down and see explanation below.
1. Click the Memo tool on the toolbar or choose Memos - Edit Memo from the Edit menu.
2. Select Student Memo and click the OK button.
3. You can now start typing your comments.
Please make sure you do not press the Enter key or leave any extra blank spaces after typing your comments. This will create extra spaces in the comment file
and may result in format errors when the grade report is being printed by the office.
Select the next student from the list in the upper left corner of the memo window or by clicking the red arrows at the top of the memo window. A
message could appear asking you if you want to keep the changes in your memo - click "Yes".
Spell
Check the comments that you have entered for a particular student by clicking on
Edit - Spell Check Memo.
To Spell Check all comments in one
shot, click on the link or see the steps below.
If you are done with entering comments, you can close the memo window then save your gradebook. All done!

Others things you can do with comments:
Zap all Comments in a Gradebook: Choose edit - memos - zap all notes to students - Are you sure you want to do this? - Yes.
Of course, if you wish to retain some of your comments you can ignore this procedure, but be sure that you check each student to
verify that only the current term’s comments get exported.
Spell-Check all your comments in one shot
1. Choose Edit -Memos - Spell Check all Memos
2. GradeQuick will go through all memos in the open gradebook and check spelling against its dictionary. If it finds a word it does not recognize it will suggest options on the right side of the window. It will also show you the part of the comment that has the error so you can get some context. The name of the student will be in the blue title bar at the top of the spell check window.
3. Select the suggestion you wish to use.
4. Click the Change button to fix your mistake, or Ignore to just go on. You may click Change All to fix all occurrences of the same misspelled word.
5. Click Cancel to stop the spell check.
Note: The spell check will not find correctly spelled but unintentional words, nor will it find bad grammar.
Marking students with existing comments
You can find which students have existing comments by turning on comment markers.
1. Choose Options - Preferences. The Preferences window will appear.
2. Check the Show Markers for Student Memos box
3. Click the OK button. Your class list will now display a small equals sign ( = ) next to the names of students who have existing comments. In my example, all students except number one have comments.
Setting up a personal comment bank in QuickNotes
There are two ways to access the QuickNote library for editing:
a. Click the Memo tool on the toolbar or choose Memos - Edit Memo from the Edit menu.
Select Student Memo and click the OK button.
Choose Insert quicknotes from the File menu of the memo window.
b. Choose Memos - Edit QuickNotes library from the Edit menu of Grade Quick.
Now you can create new QuickNotes.
1. Click the Create button at the bottom of the window.
2. Type your comment or paste it from a word processor by selecting Paste from the Edit menu of the QuickNote window. Use short concise sentences
for QuickNotes.
3. Choose Spell check memo from the Edit menu of the memo window.
4. Choose Exit QuickNote from the File menu of the QuickNote window.
5. Repeat steps 1-4 for all QuickNotes you wish to create.
6. Click the Done button.
Deleting unwanted QuickNotes
1. Open the QuickNote library by following step a. or b. in Setting up a personal comment bank in Quicknotes.
2. Select the QuickNote you wish to delete.
3. Click the Delete button. You will see a warning about renumbering the remaining QuickNotes in the library.
4. Click the OK button.
5. Repeat steps 2-4 to delete more QuickNotes.
6. Click the Done button.
Editing an existing QuickNote
1. Open the QuickNote library by following step a. or b. in Setting up a personal comment bank in Quicknotes.
2. Select the QuickNote you wish to edit.
3. Click the Edit button.
4. Make your changes.
5. Choose Spell check memo from the Edit menu of the memo window.
6. Choose Exit QuickNote from the File menu of the QuickNote window.
7. Repeat steps 2-6 for all QuickNotes you wish to edit.
8. Click the Done button.
Copying your QuickNote library to your other gradebooks
1. Make sure the gradebook with the QuickNote library is open.
2. Open all the gradebooks to which you want to copy the QuickNote library. They all must be open simultaneously.
3. Choose Gradebook to gradebook copy from the Edit menu.
4. In the Copy From box on the left of the window, choose the gradebook that contains the QuickNote library.
5. In the Copy To box in the center of the window, choose the gradebook(s) to which you want to add the QuickNote library. You may choose more than
one gradebook by holding down the CTRL key on the keyboard while selecting with the mouse.
6. In the Copy What box on the right of the window, choose QuickNotes. You may also copy other information to your other gradebooks at the same
time.
7. Click the OK button. You will see a warning asking if you are sure you want to do this.
8. Click the OK button.
9. Save all of the open gradebooks. Your QuickNote library should now be available in all of your gradebooks.
Sharing your QuickNote library with other teachers
1. Choose New from the File menu of GradeQuick.
2. Choose Save from the File menu.
3. Give the new blank gradebook a name and save it to a floppy disk.
4. Open a gradebook that contains your QuickNote library.
5. Follow the instructions for Copying your QuickNote library to your other gradebooks, but only copy it to the new gradebook that is on the floppy disk.
6. Hand the floppy to your colleague, who will follow the Copying your QuickNote library instructions from the floppy disk to his/her gradebooks.
Using QuickNotes as comments
1. Click the Memo tool on the toolbar or choose Memos - Edit Memo from the Edit menu.
2. Select Student Memo and click the OK button.
3. Choose the student you wish to write about from the list in the upper left corner of the memo window.
4. Choose Note to student from the list in the upper right corner of the memo window.
5. Choose Insert quicknotes from the File menu of the memo window.
6. Select the QuickNote you wish to use.
7. Click the Insert QuickNote into Memo button.
8. Repeat steps 6-7 if you wish to insert more QuickNotes.
9. Click the Done button.
10. You may type more into your comment or delete parts of the QuckNote as you wish.
11. Choose Exit memo from the File menu of the QuickNote window.
